A credit on a supplier statement is a reason to reconcile. It is not, by itself, proof that cash is recoverable.

Start with the remaining balance

Match a current supplier statement to your open-credit ledger at the same cutoff. Compare the legal entity, supplier, currency, reference and remaining amount. Historical original amounts create noise when credits were partly applied.

Three common explanations

  1. Already applied: the supplier statement predates a recent allocation.
  2. Different reference: the credit was entered under an internal number or another supplier spelling.
  3. Missing entry: the credit was received but not reflected in the supplied ledger.

Keep the query neutral

Ask the supplier to confirm the current credit balance and provide an application or refund reference. Attach only the relevant records after checking them. Do not call a flagged amount a debt.

How CreditLatch helps

The scanner matches normalized references within one entity, supplier and currency. It highlights unmatched credits and larger supplier balances, with the source rows attached. It does not decide how to post a journal or whether a supplier must issue cash.
